1. Purpose

This is our framework for receiving, investigating and resolving complaints fairly and promptly. If something has gone wrong with your work, your bill or the way we have dealt with you, we want to hear about it, and we want to put it right.

2. Scope

This policy applies to individual professionals, freelancers, sole proprietors, startups, businesses and organisations who deal with E Promote Global. It covers enquiries, quotations, orders, projects, invoices, payments, refunds, delivery, privacy, communication and technical issues.

3. What you can complain about

A complaint can be about anything that has not gone the way it should have, including:

  • Service quality, for example work that does not match the scope you agreed.
  • Billing, for example an invoice you believe is wrong.
  • Refunds.
  • Delivery, for example work that is late or that you cannot access.
  • Privacy and how we have handled your information.
  • Communication, for example not hearing back from us when you should have.
  • Technical issues with the website or with a deliverable.

If you believe a payment has been processed incorrectly, we encourage you to contact us before raising a dispute or chargeback with your bank or payment provider, so we can look into it promptly. See our Payment Policy and Refund and Cancellation Policy for how payments and refunds work.

4. How to raise a complaint

In line with the Consumer Protection (E-Commerce) Rules and applicable regulations, here are the details of our Grievance Officer. You can email the Grievance Officer directly, and your complaint is handled personally rather than passed around.

5. What to include

Please tell us:

  • Your order reference, if your complaint relates to an order.
  • What happened, and when it happened.
  • What outcome you are looking for.

That last one matters. Knowing what you want to happen usually gets us there faster.

6. What we do, and how fast

When your complaint arrives, we read it, look at the emails, files and records for your order, and come back to you. If we need anything else from you to understand what happened, we will ask.

  • We aim to acknowledge your complaint within one business day, so you know it has reached us.
  • We aim to give you a substantive response within 10 business days.

We are a small studio, so replies come from a real person, not a queue. If something is going to take longer than we expected, we will tell you rather than leave you waiting.

7. Records

We keep a record of complaints and our responses. Each complaint submitted through our contact form is given a reference number, which you can use if you need to follow up. Electronic communications, invoices, quotations, delivery confirmations and project records may be reviewed during the investigation of a complaint.

Complaint records are retained only for as long as reasonably necessary to resolve the matter and to comply with legal, accounting or regulatory obligations. We periodically review complaints to identify recurring issues and improve our services and internal processes.

8. Confidentiality

Complaints are handled confidentially. We use what you tell us only to investigate and resolve the matter, and we handle any personal information in it consistently with our Privacy Policy.
